Activation, deactivation, reactivation, and cancellation of an electronic mailbox
Electronic mailboxes established for institutions due to their legal status as public authorities are, pursuant to the e-Government Act, mandatorily activated for electronic delivery. Therefore, such institutions cannot decide whether to activate or deactivate their mailbox for delivery purposes.
Electronic mailboxes established for institutions in their capacity as public authorities are activated for delivery upon the first login to the mailbox, but no later than on the tenth day following their establishment.
On the tenth day after the electronic mailbox is established, the public authority will also be made available in the “Electronic ServicesOpens in a new window” section and assigned the “General AgendaOpens in a new window” service, through which submissions from natural persons, legal entities, and entrepreneurs may be sent.
Deactivation of an electronic mailbox ensures that the mailbox can no longer be used for electronic delivery, while access to the mailbox and its contents remains unaffected.
The possibility to log in and access the contents of the electronic mailbox is retained for the period specified in Section 14(1)Opens in a new window and Section 15(a)Opens in a new window of the e-Government Act. Granted permissions for access to and management of the electronic mailbox remain valid. Decisions cannot be delivered to such a mailbox (the sender of the decision will receive an error message stating that delivery to the recipient’s mailbox is not possible), and messages cannot be sent from it either.
An electronic mailbox of a public authority is deactivated for delivery on the date the authority ceases to exist without a legal successor. In the case of a natural person acting as a public authority, the mailbox is deactivated on the date the person ceases to perform the relevant activities.
The electronic mailbox of an organizational unit is deactivated on the date the registered organizational unit is removed from the legally established register.
An electronic mailbox and all of its contents are deleted three years after the administrator of the electronic mailbox module becomes aware of the dissolution of the public authority.
In the case of an electronic mailbox belonging to an organizational unit or an organization without legal personality, the mailbox may be cancelled upon request by the founding public authority within the time period specified in the request.
Cancellation of an electronic mailbox means that the public authority will no longer be searchable in the “Electronic ServicesOpens in a new window” and “General AgendaOpens in a new window” sections, and persons previously authorized to access and manage the mailbox will no longer be able to log in.
